The Green European Foundation (GEF) is seeking an intern who will support GEF’s work, with a focus on finances and administration. The successful candidate will join our team in Brussels as soon as possible.   

 

About GEF 

The Green European Foundation (GEF) is a European-level Green political foundation. It is a pillar of the European green movement, together with the Greens/EFA group in the European Parliament and the European Green Party. Our mission is to offer a platform and space for debates, training, research, and new forms of collaboration within and beyond the Green family to foster a more democratic, open and just Europe.  

GEF is funded by the European Parliament as a European political foundation seeking to support and enable citizens to participate, in full respect of pluralism and in an active manner, in European politics. GEF is both a Brussels-based organization and a network of national member foundations and partners. GEF also works through projects, debates and training initiatives with many other stakeholders from academia to civil society, from business to politics. About the role 

This role is foreseen as a reinforcement to our finances and administrative team. The Finance and Administration intern will support the GEF Finance Manager and Office Coordinator, and collaborate with the GEF team to

Main tasks 

  •  Assist the Finance Manager in:

o Supporting internal payment process of suppliers’ invoices, especially with internal collaborative platform, ‘Monday.com’;
o Liaising with GEF’s staff to gather receipts in connection to monthly credit card statements, and relaying these to the GEF Finance Manager for booking into GEF’s accounting system;
o Supporting the GEF Finance Manager in maintaining the filing system;
o Extract accurate lists from accounting system on regular basis;
o Draft, with guidance from GEF’s Finance Manager, financial documents such as invoices and per diem statements
o Keep track of revenue received by checking monthly bank statements;

• Support the Office Coordinator in:

o Organisation and planning of GEF General Assembly meetings – searching for venues, asking for offers, etc.;
o Planning regular inventory of office supplies and implementing orders accordingly;
o Ensuring optimal use of office equipment, supplies, and inventories through preventive maintenance;
o Answering to day-to-day requests from team relating to travel and meeting bookings

What we are looking for 

Enthusiastic candidates who:
• Are proficient in written and oral command of English (French is an advantage);
• Are available full-time for 6 months;
• Are technology-savy, with a demonstrated interest in administration and finance work;
• Demonstrate good organisational and administrative skills and openness towards a variety
of tasks;
• Are attentive to details;
• Are natural problem-solvers;
• Are able to function in a political and intercultural environment;
• Have an interest in Green issues and EU politics.

 

What we offer 

A paid internship, under a Belgian “convention d’immersion professionelle” in our Brussels office:
• 1300 EUR/month net
• food vouchers amounting to 7EUR/worked day
• full reimbursement of public transport
• reimbursement of phone costs
• 2 EUR/day of home office
• a training budget of 500 EUR/6 months
• 1 holiday per month

learning experience adapted to the intern’s skills and interests.

What you will learn 

• You will strengthen your knowledge of local and European green actors;
• You will become familiarised with the functioning of pan-European projects;
• You will receive practical training in finance and administrative tasks;
• You will develop hard and soft skills in general:
o For example, you will sharpen your computer skills, performing payment processing, general accounting processes, and contract drafting tasks.
o You will become familiarised with new collaboration tools – Sharepoint, Monday.com, etc.
o Moreover, you will learn about office management processes and good practices,
o You will enhance your team work, communication and active listening skills;
• You will familiarise with our network of political foundations.
