About the Role 

This role is seen as a reinforcement to the strategic relations work of GEF, line managed by the Head of Strategic Relations. The Strategic Relations unit operates transversally, working alongside other teams of the Green European Foundation, including the Green European Journal and the Programme Team.  

The successful candidate will support the Head of Strategic Relations in ensuring professional planning and delivery of events, coordination of logistics, communication and liaison with GEF’s General Assembly network, partners, and event participants, and supporting evaluation and reporting processes. 

Main Tasks 

Event Coordination  

  • Support the coordination of logistical aspects for GEF events, including GEF General Assemblies and other events based in Brussels. 
  • Support the selection of and liaison with service providers, including venue, caterers and accommodation.  
  • Support the design of event registration processes.  
  • Liaison with participants, speakers, partners, and other relevant stakeholders. 
  • Support outreach efforts, i.e. drafting invitations and event page descriptions. 
  • Support the smooth implementation of events. 
  • Reinforcing work on evaluation, impact assessment and filing of event results. 

 Membership Coordination 

  • Support liaison with GEF’s General Assembly network. 
  • Support to maintenance of GEF membership and partner databases.  

What we are looking for 

  • Proficient written and oral command of English. 
  • Available full-time for 6 months, with the possibility of renewal for another 6 months.(Please note that Belgian candidates can only be hired for a 6-month period due to the CIP regulations).  
  • Good organisational and administrative skills. 
  • Attention to detail. 
  • Technology-savvy, and good command of office software (MS Office, project management tools, etc.). 
  • Interpersonal skills and eagerness to work in a political and intercultural environment. 
  • Ability to work both collaboratively and independently. 
  • Proactive attitude and openness towards a variety of tasks.   
  • Commitment to GEF’s mission and team values (solidarity, respect, openness, sustainability, autonomy). 
  • Legal right to work in Belgium.  

Desirable 

  • Interest in Green issues and EU politics. 
  • Experience of working/volunteering with/in multi-partner networks. 
  • Engagement with the green movement (with actors from Green parties/Green political foundations/climate movements/environmental NGOs etc.).    
  • Knowledge of an additional European language is considered an asset.   
  • Participation in a previous GEF event.  

What we offer  

A paid internship, under a Belgian “convention d’immersion professionelle” in our Brussels office:    

  • 1365 EUR/month  
  • Food vouchers amounting to 7 EUR/worked day.

What you will learn  

  • You will strengthen your event organisation skills (coordination of logistics, organisation and time management, working with diverse stakeholders) and develop a strategic approach to event management. 
  • You will strengthen your project coordination skills (including project administration and finance).   
  • You will become familiarised with new collaboration tools – SharePoint, Microsoft Teams, project management tools such as Monday.com, etc. 
  • You will strengthen your knowledge of local and European green actors. 
  • You will become familiarised with the functioning of pan-European projects.   
  • You will benefit from networking opportunities.
